We take your privacy seriously, but we're not going to bury that in ten pages of legal language. Here's a plain-English explanation of what information we collect, why, and what we do with it. If you've got questions, just ask.

Who's responsible for your data

Hawkins Coffee is the data controller — that means we decide how your personal information is used. If you need to get in touch about anything privacy-related, here's how:

What we collect

We only collect what we need. Depending on how you interact with us, that might include:

  • Your name and contact details — so we can get in touch, process orders, and answer your questions
  • Business name and delivery address — so we know where to send your coffee
  • Order history — so we can keep track of what you've bought and help with reorders
  • Payment information — processed securely through our payment provider (we don't store your full card details ourselves)
  • Emails and messages you send us — so we can respond and keep a record of our conversations
  • Website usage data — things like which pages you visit and how you found us (via Google Analytics — see our Cookie Policy for more on this)

Why we collect it

We use your information to:

  • Process and deliver your orders
  • Respond to enquiries and provide customer support
  • Send you information about your account or orders
  • Improve our website and understand how people use it
  • Send you occasional updates about our products or services (only if you've said that's okay)

  • Contract — we need your details to fulfil your orders and provide the service you've asked for
  • Legitimate interest — things like improving our website, understanding our customers, and keeping records of our business relationships

Who we share it with

We don't sell your data. We don't share it with anyone for marketing purposes. The only people who see your information are:

  • Our payment provider — to process payments securely

  • Our accountants and legal advisors — where necessary for running the business

All of these parties are required to handle your data properly and securely.

How long we keep it

We keep your information for as long as we need it. In practice, that means:

  • Customer accounts and order history — for as long as you're a customer, plus 6 years after your last order (for tax and legal records)
  • Enquiries — for up to 2 years after our last conversation, unless it leads to a business relationship
  • Marketing preferences — until you tell us to stop

After that, we'll delete it or anonymise it so it can't be linked back to you.

Your rights

You've got rights over your personal data. You can:

  • See what we hold — ask us for a copy of your personal data
  • Fix mistakes — tell us if something's wrong and we'll correct it
  • Ask us to delete it — in certain circumstances, you can ask us to remove your data
  • Opt out of marketing — unsubscribe at any time, no hard feelings
  • Object to processing — you can ask us to stop using your data in certain ways
  • Move your data — ask for your data in a portable format

Keeping your data safe

We use appropriate technical and organisational measures to protect your information. Payments are handled through secure, PCI-compliant processors. We limit access to personal data to those who genuinely need it.

No system is 100% bulletproof, but we take sensible precautions and keep things up to date.

Transfers outside the UK

Some of our service providers (like Google) may process data outside the UK. Where this happens, we make sure appropriate safeguards are in place as required by UK data protection law.

Marketing

We'll only send you marketing emails if you've opted in. Every email will include an unsubscribe link. If you change your mind, just click it — or drop us a line and we'll remove you straight away. No questions asked.

Children

Our website and services are aimed at businesses and adults, not children. We don't knowingly collect data from anyone under 16. If you think we have, please let us know and we'll delete it.

Changes to this policy

We may update this policy from time to time. If we make any significant changes, we'll update the date at the top. We'd encourage you to check back occasionally, but we won't make any dramatic changes without good reason.

Complaints

If you're not happy with how we've handled your data, we'd like the chance to put it right — so please get in touch with us first. If you're still not satisfied, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
